Reminder From Dennis Scott (Sport Chair)

When games are completed on Saturday, Feb. 28, remember to fax or e-mail me your Region Champion form and your At-Large Bid form as soon as possible.  Don’t forget to include the team’s season schedule with results.   I will compile all necessary information and get it out to each of you for voting.  Remember that all voting will be done by e-mail and there will be three votes.   Keep checking your e-mail regularly throughout Saturday evening/Sunday morning into early Sunday afternoon.   I will be at church between 9:00 am and noon (Central time) so you may not get anything between those times.  You will be receiving information that will help you vote and then receiving the results of the voting a short time after everyone has returned their vote to me.  I will usually give a time frame within which I would like to have each vote returned to me.

First vote will be for the Top 4 seeds (selected from the 8 regional champions).

Second vote will be for the At-Large spots.

Third vote will be to seed spots # 5 – 12.

Conference Call: The conference call will be on Sunday, March 1 at 5:00 pm (Eastern). For more information contact Dennis Scott. His email is dscott@ni.edu

Questions

Here is a reminder from the NCCAA Handbook about who qualifies to put an At-Large bid in for Nationals.

At-Large Teams shall be selected as follows:

a.      No more than one team from a region.  The host team is an automatic selection and not considered as the at-large bid from their region.

b.      No lower than fifth seed in the region.

c.       If the #1 seed loses then they are the at-large.  If #1 seed wins the regional tournament, then the #2 or #3 seeds shall be selected if they are runner-up.

d.      If the #1 seed wins and the #4 seed or lower is runner up, then the #2 seed shall be selected as the at-large team.

e.      If teams in the same region are matched in the first round, then the lower seed shall switch spots with the next lower seed.  If the team is seeded #12, then the #5 and #6 seeded teams shall switch spots.

f.        If the qualifying at-large bid of a particular region declines to submit a bid, then the next highest seed shall receive the at-large bid opportunity.

Here is a reminder from the NCCAA Handbook about how to figure the Power Rating.  Take the total number of points earned according to the regular season schedule and then divide it by the total number of games played (including the Regional Tournament games).

Power Rating System:  The following guidelines shall be used to determine power rating:

a.       Victory over team in NCCAA DI, NAIA, or any level of NCAA                                      3 points

b.       Victory over team in NCCAA DII, NJCAA, ACCA, or USCAA                                      2 points

c.        Victory over other intercollegiate team                                                                     1 point

d.       Loss by ten points or less to any team in NCCAA DI, NAIA, or any level of NCAA        1 point

e.        Any overtime loss, regardless of spread, to NCCAA DI, NAIA, or any level of NCAA     1 point

f.        Forfeiture                                                                                                               0 points

National Tournament Information

2/3/09

Dear Coaches,

Here are updates on information you may need.  Please communicate to the coaches in your region that our National Coaches meeting will be moved to the NCCAA Annual Convention in May.  This year it will be in St. Louis.  We had 39 schools vote out of 47 members (83%).  Out of those 39 schools, 37 voted to move the meeting to the Convention in May (95%).   I think this is a good move and we will have so many more coaches involved in the business meeting of men’s Division II basketball this way.  If you want to send an e-mail to the coaches in your region, that would be great, but you may also be able to remind them of this change when you have your regional coaches meeting.  I am assuming that you have a regional coaches meeting to select your All-Region team, select Coach of the Year, collect Scholar-Athlete certificates, set future schedules and conduct the overall business of your region.  If you do not, make sure you have collected all of the necessary documents (All-American, Scholar-Athletes, Maravich Award nominees, Coach of the Year, etc.) and bring them to the All-American meeting on March 10 in Springfield, MO.

1.       Intent to Participate:  I have received 100% response from only four regions.  They are Mid-West, North Central, Southwest, and West.  I need confirmation from the other regions that you do indeed have an Intent to Participate from all teams in your region (Central, East, Mid-East, and South).  Please send me an e-mail confirming that you have 100 % compliance with this deadline for your region.  If there are schools in your region that have not yet complied, please contact them immediately.  Thanks.

2.       Photos/Roster:  I should receive an e-mail this week from Kirk Hanson as to who has not complied with the deadline to send a team photo and updated roster to Central Bible College (National Tournament Host).   Once I receive that, I will let you know which teams in your region need to comply before they are allowed to participate in Regional competition.

3.       Regional Championships: Dates and Locations:  Attached is a document that tells you when and where the Regional Championships will be played.  I am still waiting to hear from Jon Mack about the details of the East Region and any scheduling conflicts they may have with their dual-affiliation.  The scheduling and results of the East region’s championship will determine whether our conference call will be on Sunday, March 1 or Wednesday, March 4.  We will let you know the details as soon as we know something.

4.       All-American Meeting:  Tuesday morning, March 10 at 10:00 am.  This meeting will be held at the National Tournament Host Hotel.  The specific room is yet to be determined.  You will need to be at this meeting or make sure that a suitable replacement is there to represent your region.

Again, please remind coaches in your region about the change in our national coaches business meeting.  Thanks for all of the extra work you do.  Best wishes for a strong finish to the regular season and a successful post-season.   God bless.

The Victory is His,

Dennis

------------------

Here are a couple of items for your attention as we begin the second half of the season.  Curt has done a great job communicating with each of you regarding weekly stat reports.  You all have done well in getting your region summaries to each other as well.  Please remind coaches in your region that they are required to send a minimum of 3 stat reports between Jan. 15 and Feb. 15 in order to be eligible to post-season play.  Also, they need to send an updated roster and team photo to Kirk Hanson at Central Bible College by Feb. 1.  I reminded everyone of this in an e-mail to all coaches earlier this week, but it doesn’t hurt for each of you to remind them again.  I think it is impossible to “overcommunicate”.

1.        National Coaches Meeting - As far as the vote goes regarding our annual coaches business meeting, I have received 25 responses from either head coaches or A.D.s.  The vote currently is 23 in favor of moving it to the Convention (in May) and 2 in favor of leaving it at the Tournament (in March).  I’ll let you know when I receive more votes.  Please encourage coaches/A.D.s in your region to respond as soon as possible and no later than Jan. 24  so that I can move forward with appropriate plans.

2.        Regional Championship  – below is an excerpt from the NCCAA Handbook (p. 97) that may help you.  Please let me know if you have any questions.   Please let me know which weekend your tournament is being held and where it is being held.  The West Region champion has already been decided through regular season competition.  Because of the distances between the schools and the fact that there are only 2 schools currently in the West Region, they were given approval to determine their Region Champion through regular season play.  Southwestern College (AZ) defeated Multnomah in 3 of their 4 regular season contests so they will be the West Region representative at Nationals.  I will assume that the West Region will not have an At-Large bid.   The East Region has requested some flexibility with regard to their Region Championship because of some of the member schools in that region being dual-affiliated with the NCAA III.   Jon Mack, could you give us an update as to how and when your region championship will be determined?  If I remember correctly, we may have to have the Seeding Votes and Conference Call on Wednesday, March 4 (six days before the National Championship begins rather than 10 days – Sunday, March 1) as per a decision by the NCCAA Administration Council at the convention last May.  This was to accommodate the East Region’s request for flexibility because of dual-affiliation.  This may not be necessary, but Jon Mack should keep us updated as things develop out there.  Here is the excerpt from the handbook.

All regional playoffs are under the direct control and supervision of the respective NCCAA Division II Regional Basketball Chairs. The Regional Basketball Chair shall run the region with either (1) the Regional Basketball Chair and two appointed members, or (2) all the coaches in the region. The Regional Basketball Chair shall be sensitive to the desires of the region when appointing members to the committee.

A. The Regional Basketball Chair’s responsibilities are:

1. Insure that the playoff competition is conducted in a fair, ethical and professional manner.

2. Approve the regional playoff plan, including:

a. Dates of playoffs.

b. Type of playoffs, including number of teams and bracketing format.

c. Method of team selection.

d. Method of site selection.

e. Obtaining a list of approved officials from each participating institution.

f. Obtaining a list of approved sites.

3.  Establish and enforce financial policies for the playoffs within the national guidelines.

4.  Serve as the communication link between the National Basketball Chair and the individual institutions as it pertains to the general operation and requirements of a Division II basketball program.

3.      Pete Maravich Award nominees – so far, I have received no responses from coaches who are thinking of nominating a player for the Maravich Award.  Please encourage the coaches in your region to nominate deserving seniors who meet the criteria.  Right now we just need their names and schools so we can keep an eye on them throughout the rest of the season.  Proper forms can be brought to the All-American meeting rather than faxed or e-mail to me.  Eventually, I would like some photos, personal statistics/records, and coaches comments to enhance the presentation of the Maravich Award at the National Tournament Banquet.  We would like to recognize all finalists who are in attendance before presenting the actual award.

4.      Region Champion Form (click here)– At the completion of your Regional Championship (I am assuming that most of them will be held on the weekend of Feb. 26 – 28) you will need to fill out the Region Champion Form and e-mail or fax it to me no later than Saturday, Feb. 28.  Please include a season schedule and results.  The power rating formula is as follows: Take the total number of points accumulated throughout the season and divide it by the total number of games played.

Power Rating System: The following guidelines shall be used to determine power rating:

a. Victory over team in NCCAA DI, NAIA, or any level of NCAA  - 3 points

b. Victory over team in NCCAA DII, NJCAA, ACCA, or USCAA -  2 points

c. Victory over other intercollegiate team - 1 point

d. Loss by ten points or less to any team in NCCAA DI, NAIA, or any level of NCAA - 1 point

e. Any overtime loss, regardless of spread, to NCCAA DI, NAIA, or any level of NCAA - 1 point

f. Forfeiture – 0 points

5.      At-Large Bids (click here) – Please review the handbook information regarding At-Large bids (below).  We basically need the same information from the At-Large bid teams as we do from the Region Champion teams.  The proper form filled out with a season schedule and results.  This form should also be faxed or e-mailed to me by Saturday, Feb. 28.

6.      All-American Selections – The top 5 vote-getters on your All-Region team are eligible to be nominated for All-American.  Please make sure that each of these players has the proper forms filled out by their coaches.  These forms are found in the NCCAA handbook. You can bring those forms to the meeting in Springfield.  You do not need to fax them or e-mail them to me.  The All-American meeting will probably be held on Tuesday morning, March 10 at around 9:00 am.   You are required to represent your Region at that meeting.  At this meeting we will also collect Scholar-Athlete forms, vote for the National Coach-of-the-Year and the Pete Maravich Award.

7.      Scholar-Athletes – remind your coaches to fill out the forms for any of their athletes who meet the criteria for the Scholar-Athlete award.  You can bring these forms with you to the All-American meeting as well.  Forms can be found in the NCCAA handbook.  They do not need to be faxed or e-mailed to me.

8.      Coach of the Year – each Region selects a COY from their region and he is nominated for the National COY award.  Please check the handbook to make sure the proper forms are filled out.  You can bring this form to the All-American meeting on March 10.

I am sure that there are some other things that I may be forgetting, but I thought putting all of this together for you would be helpful.  Please remember that, as Region Basketball Chair, you are responsible to represent your Region at the All-American meeting on Tuesday, March 10 in Springfield, MO.   Please let me know if you have any questions.  God bless.

The Victory is His,

Dennis
